How do you communicate with my patients? Email? Text? Letters?

We therefore communicate with your patients exclusively through letters sent via first-class U.S. mail. This has the added advantage that U.S. mail can reach 100% of your patients while you only have email addresses for some of your patients.
So is this like DemandForce? Or Smile Reminder? Or some other software services available today?
No, ActionRun is unique and unlike any other software service on the market today. The other solutions have their place, namely sending reminders to patients who have appointments in your system, so ActionRun works in conjunction with them. But no other solution can apply artificial intelligence, actually analyze each patient record and communicate in a clinically personalized way with patients who have no appointments with you, and who have been unresponsive to any and all of your efforts in getting them back. What is a practice management system and which ones do you support?
A practice management system is also often known as the scheduling system. It is a software that keeps track of your appointments, procedures performed and production generated. ActionRun supports most popular, major practice management systems.
Do I control who receives the letters?
Yes, you absolutely do. Before each batch of letters is even generated, you will receive a list of patients who are candidates for receiving letters that month. You have ample opportunity to indicate which patients you do not want letters sent, for whatever reason.
How many letters do you send each month?
It depends on the specific situation of each patient, for any given month. We know, this is counterintuitive. The reason is that we are in business to deliver results, not merely activities. Instead of sending a fixed number of letters each month and leaving the ultimate effectiveness (and risk) up to you, we deliver and track actual production for you, aiming to achieve 400-700% return on investment for you every month, no matter how many letters it takes. Looked at another way, since the number of letters depends on the probability of each patient coming back with a certain production level (both of which we calculate), the number of letters is determined statistically based on real-time information of each of your patients each month.

I have my own logo and letterhead. Can ActionRun be consistent with my brand?
Absolutely! Once you sign up, we digitally reproduce a high quality version of your logo and/or letterhead, complete with your signature. Each letter is then personalized on such a letterhead. From the patient’s perspective, these letters appear to come directly from you and are seamless extensions of your brand.

How do you determine which patients to send letters to?
Our artificial intelligence engine does what you would do but cannot realistically do, by first analyzing each of your patient’s records in your practice management system, every single month, completely automatically. Knowing each patient’s specific conditions, demographics, insurance information, etc., our system then calculates and ranks the patients according to a large number of criteria including urgency of condition, expected production from procedures, likelihood of returning and uses the result to determine which patients should receive a letter that given month. Do we still have to send recall cards if we use ActionRun?
Yes, you should continue to send out recall cards. We focus on picking up where your recall efforts stop working, i.e. those patients who are unresponsive or non-compliant.
Do we still call patients if we use ActionRun?
You no longer need to call patients who are unresponsive and have no appointments in the system, because our letters target those patients and very effectively get them back in. You should however still call patients as reminders – those who already have appointments in your system.
Do we have to have treatment plans in the system?
No, you do not. The advantage of ActionRun’s artificial intelligence system is that it evaluates each patient’s conditions as a real-life dentist would. So even for patients with no treatment plans in your system, ActionRun intelligently determines what are the most likely clinical reasons a patient needs to come back. On the other hand, if you have treatment plans in place, we use that information intelligently, and cross reference what might be outdated treatment plans with the latest information on that particular patient in your system, to make sure the treatment plan listed in your system is still relevant.
I don’t use my practice management system for record keeping or treatment planning.
Can ActionRun still work?
As long as you keep transaction history for your patients in your practice management system (often for billing purposes), that’s all we need. We do not need any charts, notes, digital models or panels that are not in your system.
How do you track production that you helped to generate?
Because we connect with your practice management system, we track every patient to whom letters are sent, the appointment date they came back after the letters are sent, and the production each generated. This information comes directly from your own practice management system, so what we see is what you see. Every month, we send you a report detailing appointments and production generated, based on information we see in your system.
